The Department definition in OpenAir is most frequently used to support reporting, such as grouping users by department in utilization reports, and to control receipt of alerts such as Late Timesheet notices. Many customers also rename this field to be an even higher organization definition such as Office, Region, Country, and so forth. Setting up a Department is a simple New Form completion and save. What many customer don’t realize, however, is that the Department object actually has a series of links to define out more information for the users within the department as well as controlling a department specific message to be displayed on the Home (or Dashboard or Account) page when users first login (provided they have not set their default module to something other than Home in their personal settings).

Access the Department list by going to Administration -> Global Settings -> Department (or Account -> Account -> Departments) and clicking on any defined department.

A series of links will be presented along with the initial edit form which you completed to create the department.

Click on the Message link to display a text field in which you can enter a customized message.

The message text may actually be entered as HTML which will be converted by the OpenAir UI automatically upon display of the message. To view a specific message and how it will appear, you can either edit your own user record (if you have the permission) to change your department then move to the home module to view the message, or you can proxy in as another user in the department to view the home page message (if you have proxy permissions).

When working with OpenAir, many times you find yourself having to compare information between screens or modules. This is best handled by logging into the application more than once. Another tip however is to keep track of which module you are in with each logged in session. You can display the active module name in the your browser’s title bar by a simple customization. Under Home (or Dashboard) -> Personal Settings, you will see a section call Options with the checkbox ‘Show currently active module name in the browser title bar (good for multiple tabs open)’. Check this box and save your personal settings to make it a bit easier to see which module is active in which browser session or tab by simply looking at the title bar!

Did you ever hear the saying “a picture is worth a thousand words”?  It’s true, especially in the case of financial data viewing and critical metrics used to run your organization.  OpenAir supports customizable graphical dashboards that display your already configured OpenAir reports in a variety of graphing styles.

To use a graphical dashboard, you must be on the latest User Interface which has an in-tab menu including the creation of new items via the in-tab menu.  If you see a ‘Create…’ tab in your modules, you will need to upgrade your User Interface.

CAUTION:  Moving to in-tab item creation is just enough of a change to impact all users in your system.  Please make sure you inform them prior to and after the switch to reduce help desk questions.

To setup a dashboard:
1)  Ensure your role has ‘View Dashboard Graphs’ enabled (check w/ your system admin)
2)  Navigate to the Home or Dashboard module and the Dashboard tab
3)  Within the Dashboard tab, select the in-tab menu and ‘new graph’ option

4)  Complete the dashboard definition form:

  • Graph type:  line, pie, horizontal bar, vertical bar, horizontal multi-bar, vertical multi-bar
  • Identify a graph name (it will default to the report name if left blank)
  • Select the report from which the graph will display data (the report must be one you own or be shared to you)
  • Select the desired values to display in graphical form
  • Select the maximum or top X values to display in the graph
  • Save

5)  You also have the ability to create multiple dashboard tabs to organize your graphs by type such as Financials, Utilization, Strategic Offerings, etc.
